It might sound like an exaggeration. But after you finish looking through these 32 practical examples, you'll likely want to use the same words.
It all started on August 4, 2026. With a major update to Gemini Notebook (formerly NotebookLM), we gained three sacred treasures.
Excel Export. Word Export. PDF Export.
Until then, no matter how excellent AI was, it was just a "drafting assistant." it could write good text, but pasting it into company templates, formatting it, and saving it as a file was a human job. There was always a river called "the final touch" flowing between the AI and the final submission.
These three treasures have built a bridge over that river. From a meeting recording, you get a request for proposal in the usual Excel format. From three lines of notes, you get a ready-to-distribute information PDF. The AI's job has changed from "drafting" to "delivery."
And I realized: this isn't just about specific tasks. Minutes, applications, proposals, analysis reports, manuals—every job involving documents has become a target for time-saving. That's why I say the definition of work has changed.
In this article, I will present 32 examples, all with copy-pasteable prompts. No AI knowledge is required. All you do is "put materials into the notebook" and "paste the prompt." Just copy the ones closest to your work.
Let's begin.
Chapter 1: The Three Treasures and Criteria for Use
Just three minutes before the main part. If you grasp this, all 32 examples will make sense.
Which Treasure to Use—Simple Criteria
If numbers and formulas are the main focus, use Excel.
Approval documents, management ledgers, summary reports. For documents where you'll replace numbers or recalculate later, have the AI deliver in Excel. Moreover, this treasure even puts formulas into the cells. Not just hard-coded values, but the same formulas as your template. This is the revolution.
If text is the main focus and a human will edit it later, use Word.
Meeting minutes, proposals, reports. For documents that you or your boss will add to or modify, have them delivered in the easy-to-edit Word format.
If you want to distribute it as-is and don't want it edited, use PDF.
Company-wide notices, manuals, FAQ collections. For documents that are "delivered in their final form," use PDF.
If you're unsure, remember this: Excel for calculating, Word for fixing, PDF for distributing.
The Three Common Patterns
These 32 prompts share a common design. Knowing this will help you apply them yourself.
Pattern ①: Always specify the file format
State clearly, "Create as an Excel file." If you don't say this, it will return plain text. Conversely, this one phrase activates the treasure.
Pattern ②: Include "Clearly mark unknown items as 'To be filled in'"
This is insurance to prevent the AI from hallucinating numbers or names, highlighting exactly what you need to verify. This line is in most of the 32 prompts.
Pattern ③: Teach the company style via a "Format Library"
If you stock company templates or previously approved documents in the notebook, the AI will deliver in that exact format. The trick is to name files like "Proposal_Template" or "Proposal_Approved01" so the type is clear. For documents without a template, the [Output Format] in the prompt serves as the mold.
One more promise: Please anonymize confidential or personal information before stocking it (e.g., "Company A" for clients, "Person B" for names). Prioritize checking your company's security rules before business use.
Preparation is complete. Here are the 32 examples.
Chapter 2: Daily Document Work—10 Examples
First, daily document work that everyone has. The higher the frequency, the greater the total time saved. This alone could change the landscape of overtime for many.
① Deliver Meeting Minutes in Word from a Recording
Making minutes after a meeting usually takes 1–2 hours. That becomes a 3-minute check. Just put the recording file in the notebook and paste this.

That extra step of pasting text into a document and formatting it is gone. If you have a company format, stock past minutes and add "Follow the structure of the stocked minutes exactly."
② Deliver a Task Management Ledger in Excel from a Recording
Transcribing "Who, What, By When" from minutes to Excel is tedious. That's now the treasure's job.

Chapter 5: Three Promises and the First Step
I've shared all 32. Before closing, here are three prescriptions for common pitfalls.
Pitfall ①: Returned as text, not a file
Cause: Missing format specification. Say "Create as an Excel file." This is the switch.
Pitfall ②: Company style isn't reproduced
Check if the template is in the notebook and correctly named in the prompt. If it still fails, try PDFing the template. Note: It won't be 100% perfect.
Pitfall ③: Typos in the file
Characters can occasionally glitch. Include a visual check in your workflow. If you find one, ask the AI to "Fix this typo."
Three promises for safe use:
Promise ①: Humans do the final check
You are responsible for the submission. Fill in "To be filled in" items, check amounts, and verify names. Confirmation is your most important job.
Promise ②: Anonymize confidential/personal info
Replace names with "Person B" and companies with "Company A." Prioritize your company's security rules.
Promise ③: Promote good outputs to templates
If a delivered file is particularly good, add it to the notebook as an approved example. The quality will improve each time.
Summary: Just One from the 32
Don't try to do all 32. Think of the one job taking up most of your time today, and copy that prompt tomorrow. That's enough.
When the file downloads a few minutes later—Excel with formulas, Word with headings, PDF ready to go—you'll understand that the definition of work has changed.
That one moment of excitement will spread to the next job, then to the team, and eventually change how you work entirely. My journey to giving up 100 hours of overtime a month started with just one "Wow, this is amazing."
