Today, I'm sharing five AI techniques disclosed by Mr. Nadella himself, along with a method to turn thick documents into audio to learn while on the move. All of these can be imitated using the AI you are currently using.

① Have AI anticipate the other person's thoughts before a meeting

Meetings are half-won before they even start.

1Based on my previous interactions with [Person Name], list 5 things they are likely to be concerned about in our next meeting.

Using this prompt allows the AI to read past emails and interactions to identify the points the other person is likely most concerned about right now. Before you even enter the meeting room, you'll have a glimpse into their mind.

It's okay if you're not connected to company email. You can achieve the same result with ChatGPT by pasting a few past interactions.

So, spend 5 minutes before a meeting having the AI identify the other person's interests before you take your seat.

② Have AI create progress reports from scattered information

Writing reports is no longer a manual job.

1Based on my previous interactions with [Person Name], list 5 things they are likely to be concerned about in our next meeting.

Using this prompt, the AI will summarize progress reports into a single page from emails and chats scattered all over the place. Furthermore, it will even prepare the "tough questions likely to come from the boss" and their answers in advance.

By pasting minutes or emails, you can do the same with ChatGPT.

So, stop writing reports from scratch on Monday mornings.

③ Have AI answer project success with probabilities

There are no words less reliable than "It's going well."

1Is the November release of [Product Name] on track? Check development progress, test results, and risks, and tell me the probability of meeting the deadline as a percentage.

Normally, AI will be vague with "It's generally on track." But if you add "answer with a probability" as in this prompt, it can't dodge the question. Once a number is out, you can move on to discussing how to mitigate the remaining risks.

Even for your own side hustles or tasks, just asking "What is the probability of achieving this? Give me the reasoning" will suddenly yield a serious answer.

So, add "answer with a probability" to your AI requests. That alone changes the quality of the response.

④ Have AI audit how you use your time

You're not just busy; you just can't see what you're spending your time on.

1Look at my calendar and emails from last month and categorize what I'm spending my time on into 5-7 groups. Include the percentage of time for each and a brief description.

Using this prompt, the AI will sort "what you spent what percentage of your time on" from a month's worth of calendars and emails. You can see your time usage through numbers, not just intuition.

Even just pasting your Google Calendar schedule can give you a rough audit.

So, if you feel "somehow busy," first have the AI categorize your month.

⑤ Connect one email to the next meeting preparation

Don't just let the AI "do one thing and finish"; let it work continuously.

1After reading [this email], prepare for the next [Project Name] meeting based on past discussions with my boss and the team.

Starting from a single email, the AI takes over the entire process of "reading -> remembering -> preparing" for the next meeting, taking into account past discussions.

By pasting relevant emails and past interactions, you can create the same flow with ChatGPT.

So, don't just ask the AI one-off questions; ask it to connect tasks: "Based on this material, do this next."

⑥ Read thick reports with your ears

The amazing thing about Mr. Nadella isn't just his prompts.

He uses AI to turn GitHub's annual report, "Octoverse," into about 5 minutes of audio and listens to it while traveling. GitHub is a development site where programmers from all over the world gather.

He even posted, "It's fun to be able to learn while traveling with a podcast."

A 30-minute commute. The time you used to spend just staring at your phone can be completely transformed into learning time.

You can do this today, too. Mr. Nadella uses Copilot, but here I will introduce a method that anyone can do for free.

You can create explanatory audio for free using NotebookLM

You can create audio for free using the following method:

  1. Open NotebookLM in your browser.
  2. Drop in PDFs, URLs, or text via "Add Source."
  3. Select "Audio Overview" in the Studio panel on the right and press "Generate."
  4. In a few minutes, an audio file where two AIs explain the content in a dialogue format will be created. Japanese is supported.
  5. If you're on a PC, download the file, put it on your smartphone, and listen to it during your commute.

The free tier has a limit on the number of generations per day, but it's enough to try it out.

Things you can imitate starting today

  • Have the AI list 5 of the other person's interests before a meeting.
  • Have the AI write progress reports from scattered information.
  • Add "answer with a probability" to your AI requests.
  • Turn thick materials into audio with NotebookLM and listen during your commute.

You don't have to do everything. Just copy and paste one thing today.

AI is not just someone to ask questions; it's a partner you give context to and put to work.
