Looking back on that journey, there is one thing I clearly understand.
"If you create too many notes, you get stuck as a convenient notepad and cannot move forward."
Conversely, by creating just 10 notes, your Gemini Notebook transforms from a notepad into your own small company.
Today, I will reveal those 10 notes, along with the order in which to create them.
One foundation note, four work-management notes, three knowledge-building notes, and two self-development notes.
These are all notes that I have actually continued using and verified their effectiveness.
For each, I have included "what to put in it," "what questions you can ask," and "the first prompt to throw at it right after creation."
You can create the first note in 10 minutes tonight.
Chapter 1: Just Three Principles Before You Start
Before diving into the 10 notes, here are three principles common to all notes.
Principle ①: One role per note.
Do not create an "everything note."
A giant single note mixing work, reading, and hobbies dilutes all answers.
When discussing meetings, reading notes intrude.
When consulting on plans, irrelevant documents pop up.
Even humans would be confused if all topics were handled in one meeting room, right?
The moment you separate them by role, each answer takes on the face of a "specialist."
Principle ②: Name the note by its role.
Names like "Memo," "Documents," or "Test" are forbidden.
Use names where the purpose is clear at a glance, such as "Boss Note," "Meeting Note," or "Accounting Dept."
If the name reflects the role, you can later call it up from Gemini Spark or the Gemini app by saying "Refer to the Boss Note."
The name is the address of the note.
Principle ③: Add source materials via Google Docs.
For documents updated daily, write them in Google Docs or Sheets and add them as sources via Drive.
Just updating the original file automatically updates the note side.
The hassle of re-uploading every time disappears, and the note enters a state of "growing on its own."
If you follow just these three rules, you only need to build them in order.

Even if you are a single office worker, write a policy statement for the company called "Yourself."
Rewrite the content in your own words and place it in a Google Doc.
If goals change later, just edit the doc, and it reflects in the note.
What questions you can ask
First, you can consult about yourself.
"Does this judgment contradict my policy?"
"I have too much to do this month. Based on my goals, which ones can I drop?"
The AI, having read the policy statement, answers based on your goals and values, not generalities.
This is why you create this as the first of the 10 notes.
Teach AI about you before assigning it work.
Even a human new hire struggles if assigned work without knowing company policy.

Notes are independent, so add it to each note where you want it applied.

Chapter 3: Four Work Management Notes—Eliminating Daily "Where Is That?"

Materials for current projects, one note per project.

- Meeting minutes
- Communications with stakeholders
- Emails
- Reference materials
Everything related to the project.
What questions you can ask
Answers to "How far did we decide on that matter?" or "What was the homework from last time?" return in 3 seconds.
Time spent searching for files disappears, and project memory stays in the note, not just in someone's head.
The value of this note explodes during transfers or handovers.

Just create one Google Doc and add a few lines per date.
If set as a source via Drive, the note grows as you add entries.
What questions you can ask
First, weekly reports become a draft with one prompt.
"Create a weekly report from this week's records" returns text organized in the order bosses want to see.
At month-end, asking "Which tasks ate up my time this month?" reveals your work habits from the records.
And six months later, during evaluations, asking "Organize my achievements from the past half-year" picks up forgotten results.
Daily reports are most valuable after they accumulate, not when written.

④ Boss Note
What to put in it
Your boss's "thinking data."
- Records of 1-on-1s and interviews
- Critiques in emails/chats
- Recordings of their talks (with permission)
Especially rejection comments are data where the boss's judgment criteria became words directly, so paste them by tracing back old emails.
Anonymize proper nouns of projects, and never share this note with anyone.
What questions you can ask
The "vaguely strict person" becomes visible as a business professional with clear judgment criteria.
They prioritize numbers, prefer conclusions first, reject proposals without risk analysis.
Once you know these criteria, you can have the AI draft document outlines structured to "pass this specific boss."
I had documents rejected 15 times consecutively in the past, but rejections dropped sharply after creating the Boss Note.
Continuing this, you start hearing boss's remarks as "judgment criteria data," raising your own perspective.
