TL;DR

This guide explains why the human brain fails at multitasking and offers a mechanical system to prioritize tasks and eliminate distractions for better focus.

The human brain is fundamentally bad at multitasking. Even when it looks like it's processing multiple things at once, it's actually just switching attention at high speed. Every time you switch attention, it puts a load on the brain.

First, turn multitasking into single-tasking.

  • The 1st priority should be tasks that require requests to others. As long as you hold the ball, nothing progresses.
  • The 2nd priority should be tasks that can be settled within 10 minutes. When uncompleted tasks pile up, your brain gets full and concentration drops. Therefore, it's better to reduce the number of uncompleted states as much as possible.
  • The 3rd priority is breaking down tasks that take more than 3 business days. For large tasks that take more than 3 business days, try starting them and break them down into task sizes that can be completed within 3 business days. By doing so, you can see the overall picture of the task and easily prevent delays.
  • Tasks that don't fall into categories 1-3 should be processed in order of their deadlines.

Next, concentrate on a single task and completely ignore others. Eliminate distractions by (1) turning off chat and email notifications, (2) keeping your smartphone out of sight, and (3) keeping nothing but your PC on your desk.
