TL;DR

This article details a strategic framework for organizing Gemini Notebook (NotebookLM) into ten distinct roles, ranging from personal branding to project management, effectively turning the AI tool into a personalized virtual company.

I state this with certainty.

Gemini Notebook is sufficient if you just create these 10 notes.

I have used Gemini Notebook (formerly NotebookLM) every day for over a year, to the point where I have "hired" 26 AI employees.

Looking back on that journey, there is one thing I clearly understand.

"If you create too many notes, you get stuck as a convenient notepad and cannot move forward."

Conversely, by creating just 10 notes, your Gemini Notebook transforms from a notepad into your own small company.

Today, I will reveal those 10 notes, along with the order in which to create them.

One foundation note, four work-management notes, three knowledge-building notes, and two self-development notes.

These are all notes that I have actually continued using and verified their effectiveness.

For each, I have included "what to put in it," "what questions you can ask," and "the first prompt to throw at it right after creation."

You can create the first note in 10 minutes tonight.

Chapter 1: Just Three Principles Before You Start

Before diving into the 10 notes, here are three principles common to all notes.

Principle ①: One role per note.

Do not create an "everything note."

A giant single note mixing work, reading, and hobbies dilutes all answers.

When discussing meetings, reading notes intrude.

When consulting on plans, irrelevant documents pop up.

Even humans would be confused if all topics were handled in one meeting room, right?

The moment you separate them by role, each answer takes on the face of a "specialist."

Principle ②: Name the note by its role.

Names like "Memo," "Documents," or "Test" are forbidden.

Use names where the purpose is clear at a glance, such as "Boss Note," "Meeting Note," or "Accounting Dept."

If the name reflects the role, you can later call it up from Gemini Spark or the Gemini app by saying "Refer to the Boss Note."

The name is the address of the note.

Principle ③: Add source materials via Google Docs.

For documents updated daily, write them in Google Docs or Sheets and add them as sources via Drive.

Just updating the original file automatically updates the note side.

The hassle of re-uploading every time disappears, and the note enters a state of "growing on its own."

If you follow just these three rules, you only need to build them in order.

Chapter 2: The Foundation Note—Teaching AI About You

① Your Own Instruction Manual Note

What to put in it

Information about yourself.

You might think, "Even if you say that, what should I write?"

So, I am publishing exactly what I usually use.

It is just one Google Doc page, like this:

text
1President's (My) Thinking & Policies
2
3This file summarizes the thinking of the president, "E-tan."
4Please make all judgments and proposals according to this policy.
5
61. Business Purpose, Mission, and Future Vision
7- Eliminate "useless overtime" for Japanese office workers through AI × Time-saving. Deliver my experience of going from 100 hours/month overtime to leaving on time via AI in a reproducible form.
8- Translate and spread AI utilization centered on Gemini Notebook (formerly NotebookLM) to a level where non-engineer office workers can "copy it today."
9- Act as a bridge between difficult AI and the field as an AI promotion leader for SMEs.
10- Through broadcasting, books, seminars, and communities, produce more practitioners who say "Trying it changed my life."
11- Make the concept of "Assetizing Knowledge and Prompts" (create once, use forever) the standard for Japanese work styles.
12
132. Numerical Goals (Deadline: Dec 31, 2026)
14Judge the priority of all proposals and measures based on whether they contribute to achieving these goals.
15- X Followers: 57,000 (as of Aug 10, 2026) → Increase to 65,000
16- Seminar Attendees: Avg 130 (current) → Minimum 200
17- X Post Production Time: 1 hour/post (current) → Shorten to 30 mins
18- Avg Impressions per X Post: 130k (current) → 200k
19- Aisalo Community Members: 100 (current) → 150
20
213. Core Values & Judgment Criteria
22- Practicality and reproducibility are top priority. Procedures over theory. Proposals must always be "Copy-paste ready, numbered steps, estimated time known."
23- Accuracy is our weapon. Answers/broadcasts must always come with evidence (sources/citations). Do not mix facts and speculation.
24- Try small rather than perfect. Release today even if it's 70 points. Waiting until next week for 100 points is NG.
25- Don't convey difficult things as difficult. Always add a brief explanation for jargon. Judge by "Can a middle schooler understand this?"
26- AI is not magic, but a "system." Eliminate burnout fundamentally through systemization/manualization, not grit or spirit.
27- Creating from zero every time is bad. Reuse and nurture created notes, prompts, and manuals as assets.
28- Culture of sharing and gratitude. Publish good things without holding back; show respect and thanks for others' insights.
29- Don't sell stories of hardship/grit. Maintain a bright, positive tone: "AI makes it fast and easy."
30- When in doubt, prioritize "Reader/Student Benefit." What they take home matters more than what I want to say.
31
324. Target Audience (Who do we want to deliver value to?)
33- Non-engineer office workers interested in AI but don't know where to start. Especially those with lots of overtime and time constraints.
34- Knowledge workers whose time melts away in search, document creation, and prompt writing.
35- Staff assigned to introduce AI in SMEs but lacking internal experts.
36- Intermediate users already using NotebookLM who want advanced utilization.
37- (Lower priority) Engineers wanting to code, people seeking abstract comparisons of latest model specs.
38
395. Things to Absolutely Avoid (NG Items)
40- Losing trust through exaggeration/hype. Don't create unfulfillable expectations with phrases like "Anyone can absolutely..."
41- Stating unfounded information as fact. Don't assert unverified specs/numbers.
42- Violating laws or service terms. Gray-area methods are "Don't do them, even if possible."
43- Sacrificing long-term credit for short-term sales. Never break the order of giving value before selling.
44- Leaving readers behind. No listing jargon, skipping steps, or attitude of "Only those who get it, get it."
45- Careless handling of confidential/personal info. Anonymize cases/screenshots.
46- Elevating oneself by criticizing/comparing others. Don't appeal by putting down other broadcasters/tools.

The structure has 5 parts.

  1. Purpose and Mission
  2. Numerical Goals with Deadlines
  3. Values and Judgment Criteria
  4. Target Audience
  5. Things You Will Absolutely Not Do

This is the structure of a company's management policy statement.

Even if you are a single office worker, write a policy statement for the company called "Yourself."

Rewrite the content in your own words and place it in a Google Doc.

If goals change later, just edit the doc, and it reflects in the note.

What questions you can ask

First, you can consult about yourself.

"Does this judgment contradict my policy?"

"I have too much to do this month. Based on my goals, which ones can I drop?"

The AI, having read the policy statement, answers based on your goals and values, not generalities.

This is why you create this as the first of the 10 notes.

Teach AI about you before assigning it work.

Even a human new hire struggles if assigned work without knowing company policy.

By the way, adding this one page as a source to the other 9 notes makes their responses tailored to you.

Notes are independent, so add it to each note where you want it applied.

First Prompt

Based on the content of this note, describe me as a person in one sentence. And tell me frankly, what is the weakness I should watch out for most?

Asking this immediately after inputting your info gives you an instant sense that the AI understands you.

Chapter 3: Four Work Management Notes—Eliminating Daily "Where Is That?"

② Project Note

What to put in it

Materials for current projects, one note per project.

  • Proposal documents
  • Meeting minutes
  • Communications with stakeholders
  • Emails
  • Reference materials

Everything related to the project.

What questions you can ask

Answers to "How far did we decide on that matter?" or "What was the homework from last time?" return in 3 seconds.

Time spent searching for files disappears, and project memory stays in the note, not just in someone's head.

The value of this note explodes during transfers or handovers.

First Prompt

Organize the current status of this project. Tell me what is decided, what is undecided, and what to do next.

https://x.com/ai_jitan/status/2083349562228715785

③ Daily Report / Work Log Note

What to put in it

Daily work records.

  • What was done
  • What took time
  • Observations
  • Next tasks

Just create one Google Doc and add a few lines per date.

If set as a source via Drive, the note grows as you add entries.

What questions you can ask

First, weekly reports become a draft with one prompt.

"Create a weekly report from this week's records" returns text organized in the order bosses want to see.

At month-end, asking "Which tasks ate up my time this month?" reveals your work habits from the records.

And six months later, during evaluations, asking "Organize my achievements from the past half-year" picks up forgotten results.

Daily reports are most valuable after they accumulate, not when written.

First Prompt

Create a draft weekly report from this week's records. Organize it in the order the boss wants to know, and include numbers if available.

④ Boss Note

What to put in it

Your boss's "thinking data."

  • Records of 1-on-1s and interviews
  • Critiques in emails/chats
  • Recordings of their talks (with permission)

Especially rejection comments are data where the boss's judgment criteria became words directly, so paste them by tracing back old emails.

Anonymize proper nouns of projects, and never share this note with anyone.

What questions you can ask

The "vaguely strict person" becomes visible as a business professional with clear judgment criteria.

They prioritize numbers, prefer conclusions first, reject proposals without risk analysis.

Once you know these criteria, you can have the AI draft document outlines structured to "pass this specific boss."

I had documents rejected 15 times consecutively in the past, but rejections dropped sharply after creating the Boss Note.

Continuing this, you start hearing boss's remarks as "judgment criteria data," raising your own perspective.

First Prompt

Based on the critiques and remarks in this note, organize the boss's thinking patterns and what they value. Then, tell me the points I must hit and things I must avoid in my proposals.

⑤ Internal Rules & Manual Note

What to put in it

  • Employment rules
  • Expense regulations
  • Application procedures
  • Work manuals

Collect the company's "rules" into one note.

What questions you can ask

Instant answers to "When is the expense deadline?" or "How do I submit this application?" backed by regulations.

Plus, with citations, you know "It says here in the regulation."

If shared with the team, it becomes a guide that drastically reduces questions directed at you.

First Prompt

In these regulations, which procedures are employees likely to get wrong? For each, provide the correct procedure and precautions.

Chapter 4: Three Knowledge Building Notes—Those Who Accumulate Win

⑥ Expert Note

What to put in it

Specialized knowledge texts describing the "thinking frameworks" of your department's work.

  • Definitions and KPIs
  • Frameworks serving as judgment bases
  • Procedural steps
  • Domain-specific standards
  • Checklists

You don't need to write from scratch.

Have the AI write chapter by chapter, then overwrite with your experience.

What questions you can ask

The AI, which previously only gave generalities, changes into a "person in charge" with judgment criteria for that work.

My marketing strategy AI changed its proposals from "hype" to "reverse-engineering" after reading this textbook.

Using Fast Research allows you to quickly inject specialized knowledge.

First Prompt

Using the thinking frameworks in this note, organize my current task (e.g., customer acquisition for new service). Separate what needs to be done and what doesn't.

https://x.com/ai_jitan/status/2070615064831545515

⑦ Prompt Library Note

What to put in it

Accumulate effective prompts as a set of "Title, Use Case, Body."

A note to ensure "I got great meeting minutes before, what was that instruction?" never happens again.

What questions you can ask

Say "I want to create meeting minutes," and the optimal prompt is selected from the library.

Prompting changes from "writing" to "choosing."

And this library grows with use.

In one month, a prompt collection dedicated to your work is complete.

First Prompt

Organize the prompts in this note by use case. List them starting with those most likely useful for my work.

⑧ Industry News Stock Note

What to put in it

  • Industry news
  • Competitor movements
  • Useful articles

It's easier to manage by creating one "News Stock" Google Doc as a source and appending to it.

What questions you can ask

Answers to "Summarize this week's industry movements" or "How does this affect us?" are based on accumulated info.

Time spent just "reading" info turns into "usable wisdom."

Connect with Gemini Spark to automate news collection, letting the note grow on its own.

First Prompt

From the news in this note, select items with high impact on my work. Also explain why the impact is large.

Chapter 5: Two Self-Development Notes—Turning Input into Action

⑨ Reading Note

What to put in it

  • Books read
  • Info on books wanted to read

Scan/photo physical books, and use Fast Research to gather info on books you don't own yet.

Using purchased books in your own note is fine, but absolutely do not share notes containing book contents.

What questions you can ask

You can consult the author about your troubles.

"Translate this book's teachings to my work," or "What would this book's author say about my current challenge?"

Books change from something you read to a dialogue partner.

Once you experience this, you can't go back (Insert link to reading technique article).

First Prompt

You are the author of this book. Based solely on the book's content, answer my current trouble (e.g., subordinates wait for instructions and don't act).

https://x.com/ai_jitan/status/2082942193116082348

⑩ Learning Note

What to put in it

  • Qualification study materials
  • Course resources
  • Retraining texts

What questions you can ask

Get tests made from materials, hear explanations for wrong answers, and have weaknesses predicted.

"Studying while pretending to read" changes to "studying under test."

Audio explanations turn commute time into lectures, and quiz features allow review while moving.

First Prompt

Create a test from this material to check my understanding. Predict points I'm likely to get wrong and teach me countermeasures.

Summary: You Don't Need to Create All 10 Today

We've listed all 10.

Remember the order again.

  • 1 Foundation Note
  • 4 Work Notes
  • 3 Knowledge Notes
  • 2 Self Notes

Notes are independent, but when all 10 are aligned, the view isn't a notepad—it's a company.

But you don't need to create them all today.

Just create ① today.

Write your goals and values on one page and put it in the note.

Tomorrow, add ② for your current project.

Increase one by one, and in a month, your Gemini Notebook will have changed from "notepad" to "company."
